{"id":383,"date":"2011-08-31T21:46:13","date_gmt":"2011-09-01T02:46:13","guid":{"rendered":"http:\/\/www.iqaccountingsolutions.com\/blog\/?p=383"},"modified":"2012-09-24T14:18:02","modified_gmt":"2012-09-24T19:18:02","slug":"how-can-i-change-peachtrees-email-template-for-invoices-and-statements","status":"publish","type":"post","link":"https:\/\/www.iqaccountingsolutions.com\/blog\/how-can-i-change-peachtrees-email-template-for-invoices-and-statements\/","title":{"rendered":"How Can I change Peachtree&#8217;s Email Template For Invoices and Statements?"},"content":{"rendered":"<p>This month I&#8217;m going to cheat and combine my Peachtree tip with my MS-Office tip by showing how you can use a feature in Outlook to (mostly) make up for a missing feature in Peachtree.\u00a0 The ability to email invoices and statements from Peachtree saves a lot of time and money.\u00a0 But many people would like to be able to change the standard text that Peachtree puts in those emails.\u00a0 Since Peachtree doesn&#8217;t give you a way to do that, the only option is to find a way to do it in your email program.\u00a0 By the way, you can submit suggestions for new Peachtree features here <a href=\"http:\/\/iqaccountingsolutions.us2.list-manage1.com\/track\/click?u=0b92990bba1267be26b8ca6db&amp;id=4b390391fd&amp;e=b0476d6293\"><strong>http:\/\/ideascopeanywhere.com\/peachtree\/frmSubmitIdea.aspx<\/strong><\/a>.<\/p>\n<p>In Outlook 2007 a feature was introduced called <em>Quick Parts<\/em>.\u00a0 It allows you to set up pieces of text that can easily be inserted into an email.\u00a0 To set up a new entry, type the text that you want into an email.\u00a0 Highlight the text.\u00a0 Click on the <em>Insert<\/em> tab at the top of the window.\u00a0 In the <em>Text<\/em> group click the <em>Quick Parts<\/em> button and select <em>Save Selection to Quick Part Gallery<\/em>, which you will find at the bottom of the drop down list.\u00a0 In the window that pops up, give your entry a name and complete any of the other fields that will be helpful to you.<\/p>\n<p>The next time you email a Peachtree invoice or statement, select the text that you want to replace in the body of the email (you could delete it now but you don&#8217;t need to) and click the <em>Quick Parts<\/em> button.\u00a0 Choose the entry that you want from the list and Outlook will insert it into your email, replacing the highlighted text.\u00a0 If you prefer, you can type the name of your Quick Part into the email and press <em>F3<\/em>.\u00a0 The name will then be replaced by the text.<\/p>\n<p>What if you want to change the text in one of your Quick Parts?\u00a0 Strangely, right clicking on the entry in the list gives you an option to edit the properties (name, description, etc) but not the text itself.\u00a0 To change the text, repeat the process to add a new entry, but give it the same name as the entry you want to change.\u00a0 You wil be asked to confirm that you want to &#8220;redefine the building block entry&#8221;.\u00a0 If you want to delete an entry, click on the Quick Parts button, then right click on the entry.\u00a0 Choose <em>Organize And Delete<\/em> from the menu.\u00a0 In the next window, make sure the correct entry is highlighted in the list and click the <em>Delete<\/em> button.<\/p>\n<p>If you are still using Outlook 2003 or older, you&#8217;ll want to check out the Auto Text feature.\u00a0 Or if you&#8217;re a rebel and use Thunderbird for your email, I recommend the Quicktext add-on which you can download at <a href=\"http:\/\/iqaccountingsolutions.us2.list-manage.com\/track\/click?u=0b92990bba1267be26b8ca6db&amp;id=a82d4169db&amp;e=b0476d6293\"><strong>https:\/\/addons.mozilla.org\/en-US\/thunderbird\/addon.\/quicktext\/<\/strong><\/a><\/p>\n","protected":false},"excerpt":{"rendered":"<p>This questions comes up frequently.
