{"id":366,"date":"2011-07-31T14:22:34","date_gmt":"2011-07-31T19:22:34","guid":{"rendered":"http:\/\/www.iqaccountingsolutions.com\/blog\/?p=366"},"modified":"2012-09-24T14:17:27","modified_gmt":"2012-09-24T19:17:27","slug":"hideshow-gl-accounts-in-transaction-entry-screens","status":"publish","type":"post","link":"https:\/\/www.iqaccountingsolutions.com\/blog\/hideshow-gl-accounts-in-transaction-entry-screens\/","title":{"rendered":"HIDE\/SHOW GL ACCOUNTS IN TRANSACTION ENTRY SCREENS"},"content":{"rendered":"<p>I frequently get calls from people who have recently reinstalled Peachtree or installed on a new computer asking why the GL account field is missing from all of their accounts receivable screens.\u00a0 The fix is very simple.\u00a0 Just go to the <em>Options<\/em> menu and choose <em>Global<\/em>.\u00a0 Then clear the check box next to <em>Accounts Receivable<\/em> in the <em>Hide General Ledger Accounts <\/em>section of the <em>Accounting<\/em> tab.\u00a0 The same option is there for accounts payable and payroll.<\/p>\n<p>The next question I get is usually &#8220;why would they hide the GL account?&#8221;\u00a0 Let&#8217;s start by answering the opposite question.\u00a0 Some people want to show the GL account when entering transactions because they want it to be easy to change.\u00a0 Conversely, not everyone wants it to be easy to change the GL account.\u00a0 Each customer in Peachtree has a default sales account, each vendor has a default purchase account, and each inventory item has a sales account and a purchase\/inventory account.\u00a0 Companies that make use of those fields often don&#8217;t want the data entry person, who may not understand accounting, to be able to override those accounts when entering invoices.\u00a0 For others, if they rarely need to change account numbers (as is usually the case in Payroll) they don&#8217;t want one more field to move through.<\/p>\n<p>One other side effect of hiding the GL accounts is that cash account fields (as in <em>Receipts,<\/em> <em>Payments<\/em> or <em>Payroll Entry<\/em>) will only display accounts with an account type of Cash, the AR account field in Sales\/<em>Invoicing<\/em> will only display accounts with the type Accounts Receivable, and the AP account field in <em>Purchases\/Receive Inventory<\/em> will only show accounts with the type set to Accounts Payable.\u00a0 When Hide GL Accounts is turned off, all accounts will be available in those fields.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>Peachtree gives you the option of showing or hiding GL accounts in transaction entry screens.
